OFFICER DUTIES

Expectations for all PTO Officers

Desire to serve the PTO, the school, and the students
Understanding of the PTO’s mission
Good listening skills
Effective communication skills
Strong organizational skills
Preside at general PTO meetings and executive officer meetings
Be an ambassador for the school and PTO
Be a liaison for new families
Follow the PTO Bylaws and operations
Other tasks as designated by the PTO Bylaws or voted into action by the executive officers

Assist the President

Perform the duties of the President if she/he is absent or unable to serve
Participate in executive officer meetings and general meetings

Lead local fundraising efforts

Coordinate and recruit volunteers for events and assisting PTO with general tasks
Lead the annual Membership Drive

Host a Committee Chair orientation with the Secretary

Oversee the selection, planning, and evaluation of Fundraisers & Events

Train and assist the incoming Vice President when your term is complete

Train committees and chairpeople

Determine which officer & committee chair positions may be vacant next year, & help to reach out for volunteers

Act as a liaison between chairpeople and the PTO executive officers

Fill out the Fundraising Form & Report before & after the completion, of all fundraisers

Sign-off on all monies collected during fundraising event along with a second signer
Participate in executive officer meetings and general meetings

Complete a Treasury Report at least 1 day before each monthly meeting
Maintain an Annual Treasury Report with a YTY comparison of fundraising results

Guide the selection, planning, and evaluation of Fundraisers & Events

Train and assist the incoming Treasurer when your term is complete

Coach volunteers that handle money during fundraising events

Coordinate with Principal Heidi Panosh, Bookkeeper Donyel Smith, and the PTO executive officers to ensure all financial requirements by BVM and MPS are met

Submit IRS 990-N each year in a timely manner

Prepare and timely file WDFI and any other financial or tax-related filings as necessary

Update files of all Agendas, Minutes & other materials used at meetings

Maintain records of all activities & be the main point of contact for the PTO
Participate in general PTO meetings and executive officer meetings

Record Minutes of all PTO meetings

Have the Link to the last month’s Minutes available at monthly meetings

Assist the president in create meeting Agendas and any materials needed for monthly meeting and officer meetings
Lead the annual Membership Drive

Host a Committee Chair orientation with the Vice President

Oversee the selection, planning, and evaluation of Fundraisers & Events

Set the schedule of monthly executive officer meetings for the year

Train and assist the incoming Secretary when your term is complete

Train committees and chairpeople

Act as a liaison between chairpeople and the PTO executive officers

Assist the treasurer in preparing the WDFI and 990 N filings

Serve as the primary contact to the principal and represent the PTO at meetings of other groups, as needed

Serve as an ex-officio member of all committees
Lead general PTO meetings and executive officer meetings

Prepare the monthly Meeting Presentations & Agendas

Review Financial Reports

Have regular check-in meetings with the Principal

Oversee the duties of executive officers and ensure completion in a timely manner
Ensure due dates are being met for IRS 990N & WDFI filingS

Oversee the selection, planning, and evaluation of Fundraisers & Events

Train and assist the incoming President when your 2 Year term is complete

Finalize the Committees Calendar with the Principal

Update the signatures on the PTO’s bank

Ensure all officers have signed a Responsibilities Agreement
